This notice covers mhflow.co, systematize.mhflow.co and any other website Flow operates. It explains what personal information Flow collects, why, and what you can ask us to do about it.
Who we are
Flow is the trading name of MH Flow, LLC, a go-to-market advisory and fractional CMO practice registered in Colorado, United States.

What we collect, and when
If you fill in the contact form on mhflow.co, we collect your first and last name, your job title, your company email address, your company website, and whatever you write in the message. That submission is emailed to us and is also copied into a private spreadsheet we use to keep track of inquiries.
If you complete the Ready to Systematize assessment at systematize.mhflow.co, we collect your name, your work email address, your company, what your company sells, whether you have customers who have paid, your revenue band, your answers to the seven gate questions, and anything you write in the optional final question. We also record the time you completed it.
Some of that is commercially sensitive, and we treat it that way. We use it to understand who is taking the assessment and to follow up if it makes sense to. We do not share it with anyone, and it does not go to any third party beyond the service providers listed below that store and deliver it for us.
If you complete the GTM Assessment at themovebook.com after following a link from Flow, your responses are passed to us by GTM Partners. We did not collect them ourselves, but we hold them. See Who else handles it below.
Chasing Flow, Flow’s newsletter, is published on LinkedIn and on mhflow.co. If you subscribe, you do so on LinkedIn, under LinkedIn’s own privacy notice. Flow does not collect your email address for the newsletter.
If we research your company as a potential client, we may record your name, job title, company and publicly available information about your business, so we can decide whether to get in touch and what would be worth saying. This comes from public sources and professional networks rather than from you. You can ask us to delete it at any time — see Your choices.
When you visit mhflow.co, our website provider records standard traffic information — pages viewed, approximate location, browser and device type, and the site that referred you. This is aggregated. We cannot identify you from it.
Why we collect it
• Contact form details — to answer your inquiry, and to keep track of inquiries received
• Ready to Systematize answers — to give you your result, to understand who is using it, and to follow up where it is useful
• GTM Assessment responses — to analyze your result and work through it with you
• Research about your company — to decide whether to approach you, and what would be worth saying
• Website traffic data — to understand which pages are read
If you are in the UK or the European Economic Area, our lawful basis is our legitimate interest in responding to inquiries, in providing the assessment you asked for, and in understanding how the site is used.
Who else handles it
Flow uses the service providers below. Each sees only what it needs to do its job, and each processes data on Flow’s instructions under its own privacy notice.
• Squarespace — hosts mhflow.co and processes contact form submissions
• Google — stores a copy of contact form submissions in a private spreadsheet, and receives assessment notifications by email
• Microsoft 365 — provides Flow’s business email
• Formspree — receives and stores assessment submissions
• Cloudflare — serves systematize.mhflow.co
• Anthropic — provides the AI assistant we use to analyze, research and draft
Where we send you that is not ours, and what comes back.
The newsletter and the site link to the GTM Assessment, run by GTM Partners at themovebook.com. You complete it on their site, under their privacy notice. Flow is a certified GTM Partners advisor, and your responses are passed back to Flow so we can analyze them and work through them with you. That is the only thing we use them for.
The Ready to Systematize result screen offers a booking link on Calendly. You book on their site under their privacy notice, and Flow receives the booking details so the meeting can happen.
How we use AI tools
We use AI-assisted software in our work — to analyze assessment results, research companies, prepare proposals, and draft written material. Where that involves information about you, two things apply.
A person makes every decision. These tools help us read, summarize and draft. They do not decide anything about you.
Your information is not used to train AI models. We run these tools on settings that exclude our accounts’ data from model training, and we verify that setting rather than assuming it.
What we do not do
We do not sell your information. We do not share it, rent it, or trade it with anyone for marketing purposes. There is no advertising network involved and no data broker.
We do not use your information to make automated decisions with legal or similarly significant effects. The assessment produces a result from the answers you give, and it is a starting point for a conversation rather than a decision about you.
We do not knowingly collect information from anyone under 18.
How long we keep it
Contact form inquiries: for up to three years, in both the email and the spreadsheet, so we can pick up a conversation where it left off.
Ready to Systematize submissions: for up to three years, in Formspree and in the notification email.
GTM Assessment responses passed to us by GTM Partners: for up to three years, or for the duration of any advisory engagement that follows.
Longer in any of these cases if it becomes a client engagement, in which case normal business and tax record-keeping applies.
Research about companies we may approach: until we decide not to pursue the opportunity, or until you ask us to delete it.
Website traffic data: as retained by Squarespace under its own policy.
Your choices
To stop receiving Chasing Flow, unsubscribe from the newsletter on LinkedIn.
You can also ask us to:
• tell you what information we hold about you
• correct anything that is wrong
• delete what we hold
• send you a copy in a portable format
• stop using it for a particular purpose

If you are in the UK or the EEA and you are not satisfied with how we handle a request, you have the right to complain to your national data protection authority.
Cookies
mhflow.co uses cookies set by Squarespace to make the site work and to record anonymous visitor statistics. We do not use advertising cookies and we do not run tracking pixels for third-party advertising platforms.
Your browser can block or delete cookies. Some parts of the site may not work properly if you block all of them.
Changes to this notice
If we change what we collect or what we do with it, we will update this page and change the date at the top.
